Hospitality Services at Western is committed to supporting students with food allergies and dietary restrictions in a way that promotes safety, inclusion, and informed choice. While Western does not operate allergen-free or gluten-free facilities, we take all reasonable steps to reduce risk and to help students navigate campus dining safely.

A Shared Responsibility

Managing food allergies is a shared responsibility between the student and the University. Students play an active role by identifying their needs, asking questions, and making informed choices, while Hospitality Services provides clear information, trained staff, and ongoing support to promote safe dining environments.

Self-Identifying Your Needs

Self-identification allows our teams to provide accurate information and appropriate support.

Students are encouraged to self-identify food allergies or dietary restrictions in the following ways.

Self-Identifying

In residence

Students disclose dietary needs during the residence application and onboarding process. This information is reviewed by the Hospitality Services Registered Dietitian to help support individual dietary needs.

At campus dining locations

Students, staff, and guests are encouraged to speak directly with culinary team members before selecting or ordering food.

At catered events and conferences

Guests should communicate dietary needs in advance through their event organizer whenever possible or identify themselves to catering staff on site.

Residence Assignments and Accommodations

Food allergies and dietary restrictions are considered a part of the residence accommodation review process, but they do not automatically determine residence placement. Residence assignments are made based on documented needs and the overall housing context, with the goal of providing a safe and supportive living environment.

Students living in residence may also connect with the Hospitality Services Registered Dietitian for individualized guidance on navigating residence dining.

Support and Response in the Event of an Allergic Reaction

Hospitality Services staff are trained to respond promptly and appropriately if a food allergy reaction occurs in an HS-operated dining location. Emergency services are contacted when required, and the individual is supported until help arrives.

Following a reported reaction, Hospitality Services conducts a review to better understand what occurred and to help prevent future incidents. Students are encouraged to report any reaction related to HS food offerings so appropriate follow-up can take place.

Ongoing Support

Amongst the different ways we support our students, here are a few of our key pillars:

  • Culinary teams are available during hours of operation to answer questions about ingredients and food preparation.
  • Menu items are labelled with priority allergens to support informed choices.
  • Students can connect with the Hospitality Services Registered Dietitian for ongoing guidance and support.
